A visitor notification system is the half of visitor management that decides whether the front desk is actually faster. The sign-in itself takes fifteen seconds; finding the host takes as long as it takes, and on a bad morning that is the whole queue. Notification closes that: the person being visited is told directly the moment their guest signs in, on the channel they actually read, with the visitor's name and where they are waiting. Decide who is told, and on what
The host, and only the host, for an ordinary guest. Reception and a named manager for a contractor. Getting this list right is most of the work, because a notification that goes to everyone is a notification nobody reads after the first week.
Make the notification come out of the sign-in
If telling the host is a separate step at the desk it will be skipped on the busy mornings, which are exactly the mornings it matters. The sign-in should send it, with the visitor's name and the place they are waiting, and record that it was sent.
Keep the sent notice with the visit
A record that says the host was told at 09:14 and the visitor was collected at 09:21 answers the complaint about the wait without anybody's memory. It is the same record the evacuation list comes out of.
